Privacy Policy & Your Rights
Effective May 20, 2026. This policy explains what information Tri-State Veterinary Hospital collects through this website, how it is used, who processes it, and how you can request access, correction, deletion, or opt out.
1. What this site collects
We only collect information you choose to send us. When you submit the appointment, contact, or equine intake forms, we collect the fields you fill in — typically your name, email, phone number, preferred contact method, pet details (species, breed, age, sex, name), and the reason for your visit or your message.
We do not use advertising trackers, cross-site tracking pixels, behavioral profiling, session replay, or third-party analytics. We do not sell or share personal information for cross-context behavioral advertising. We do not knowingly collect information from children under 13.
2. Technical data collected automatically
When you submit a form, our hosting platform (Cloudflare) records the following technical metadata alongside your submission so we can prevent spam and abuse:
- Country of origin derived from your IP address (e.g. "US")
- Your browser's user-agent string
- Timestamps
For abuse prevention, our edge cache temporarily stores per-IP and per-/24-subnet submission counters. These counters auto-expire after 1 hour (per-IP) and 24 hours (per-subnet) and are not joined to your submission record.
Our hosting provider (Cloudflare) maintains standard request logs (IP address, timestamps, URL paths) per its own privacy policy. We do not aggregate, profile, or resell those logs.
3. Cookies and local storage
This site does not set advertising or analytics cookies. After a successful form submission, we may store a short confirmation record in your browser's sessionStorage so the thank-you page can display your information. This record is cleared automatically when you close the browser tab.
Our spam-prevention check (Cloudflare Turnstile) is a privacy-preserving alternative to traditional CAPTCHAs. Per Cloudflare, Turnstile does not use behavioral fingerprinting or track users across sites.
4. Who processes your data
We use the following service providers solely to operate this website's forms:
- Cloudflare — website hosting, edge caching, spam protection (Turnstile), encrypted storage of form submissions (D1 database) and short-lived rate-limit counters (KV).
- Resend — transactional email delivery used only to forward your submission to the practice inbox.
- Google Workspace — email mailbox for the practice (e.g.
@tristateveterinaryhospital.com).
We do not share your information with any other third party except as required by law or to provide veterinary care you have requested.
5. How long we keep your data
- Form submissions: retained in our database until you request deletion or until they are routinely purged.
- Spam-prevention counters: auto-expire within 1 to 24 hours.
- Email copies in the practice inbox: retained per the practice's ordinary recordkeeping practices.
6. Your rights — access, correction, deletion, opt-out
Regardless of where you live, you may contact us to:
- Know what personal information we have about you.
- Correct inaccurate personal information.
- Delete personal information you previously submitted through this site.
- Opt out of any future contact initiated by us.
- Receive a copy of the information you submitted, in a portable format.
Residents of California (CCPA/CPRA), Virginia (VCDPA), Colorado (CPA), Connecticut (CTDPA), Utah (UCPA), and other states with comprehensive consumer-privacy laws have these rights by statute. We honor them for every visitor, not only residents of those states. We do not "sell" or "share" personal information as those terms are defined under California law, so there is no separate "Do Not Sell or Share My Personal Information" toggle to enable — we already do not engage in those practices.
We do not discriminate against you for exercising any of these rights.
7. How to submit a request
Send your request by phone or email. To protect your information, we may ask you to verify ownership of the email or phone number associated with the submission you want to access or delete.

We aim to respond within 45 days. An authorized agent may submit a request on your behalf with written proof of authorization.
8. Medical and emergency information
Do not submit emergency medical information through online forms. For urgent care, call the hospital during business hours or go to the nearest 24-hour emergency veterinary hospital.
9. Security
Submissions are transmitted over HTTPS and stored encrypted at rest by our hosting provider. No system is perfectly secure; please avoid sending sensitive financial or identity information through this website.
10. Changes to this policy
We may update this policy as our practices change. The "effective" date at the top of this page reflects the most recent revision. Material changes will be communicated through this page.
